Terms and Conditions

Shenandoah Valley Music Camp (SVMC)

By registering a student for Shenandoah Valley Music Camp, the parent or legal guardian acknowledges that they have read, understood, and agreed to these Terms and Conditions on behalf of themselves and the student.

Enrollment & Payment

Registration is not considered complete until full payment, or an approved payment arrangement, is received. Camp tuition is non-transferable between students.

Any additional costs not explicitly included in tuition (such as instruments, accessories, reeds, sticks, folders, or packed lunches) are the responsibility of the participant unless otherwise stated.

Cancellations & Refunds

All refund requests are reviewed on a case-by-case basis. Shenandoah Valley Music Camp does not guarantee refunds and makes refund decisions at its sole discretion.

Refund considerations may include, but are not limited to, the timing of the request, program capacity, staffing commitments, and administrative costs already incurred.

Missed days due to illness, vacations, or scheduling conflicts are generally non-refundable.

Administrative, registration, or processing fees are non-refundable.

Shenandoah Valley Music Camp reserves the right to cancel or reschedule programs due to low enrollment, instructor availability, weather, facility issues, or other unforeseen circumstances. In such cases, refunds or credits may be offered at the discretion of SVMC.

Camp Schedule, Attendance & Pick-Up

Camp hours, drop-off, and pick-up times must be strictly followed for student safety. Repeated late pick-ups may result in additional fees or dismissal from the program.

SVMC is not responsible for students outside of scheduled camp hours.

Student Conduct & Dismissal

Students are expected to follow all camp rules and behavioral expectations as outlined in the Student Expectations Policy.

SVMC reserves the right to dismiss a student without refund if behavior significantly disrupts the learning environment, threatens the safety of others, or damages equipment or facilities.

Health, Illness & Medical Authorization

Students who are ill, contagious, or unable to participate safely should not attend camp.

In the event of a medical emergency, the parent or legal guardian authorizes Shenandoah Valley Music Camp staff to seek emergency medical treatment for the student when immediate contact cannot be made. All reasonable efforts will be made to contact a parent or guardian as soon as possible.

Parents are responsible for providing accurate emergency contact and relevant medical information during registration.

Assumption of Risk

Participation in music camp activities may involve physical movement, instrument use, and group instruction. By enrolling, the parent or legal guardian acknowledges and accepts all reasonable risks associated with participation.

Liability Waiver

To the fullest extent permitted by law, Shenandoah Valley Music Camp, its instructors, staff, and volunteers shall not be liable for injury, illness, loss, or damage to persons or property arising from participation in camp activities or presence on camp premises, except in cases of gross negligence or willful misconduct.

SVMC operates independently and provides its own staff, instruction, and equipment.

Instruments & Personal Property

Participants are responsible for their own instruments and personal belongings. Shenandoah Valley Music Camp is not responsible for lost, stolen, or damaged items.

Media & Privacy

Media use and data handling are governed by the Media Policy and Privacy Policy, which are incorporated by reference into these Terms and Conditions.

Program Changes

Shenandoah Valley Music Camp reserves the right to modify programs, schedules, instructors, pricing, locations, and these Terms and Conditions at any time. Updates will be posted on the website or communicated directly when appropriate.

Force Majeure

SVMC shall not be held liable for cancellations or disruptions caused by events beyond its reasonable control, including but not limited to severe weather, natural disasters, public health emergencies, facility closures, or government actions.

Governing Law

These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Commonwealth of Virginia.

Electronic Agreement

By completing registration electronically, the parent or legal guardian acknowledges that checking the agreement box constitutes a legally binding signature and acceptance of these Terms and Conditions and all related policies.
